Create, edit, and track property viewing appointments
Managing Appointments
Appointments are property viewings booked by the AI agent or created manually by your team. They appear on the Calendar page alongside your availability.
How Appointments Are Created
Appointments can be created in two ways:
- By the AI agent — when a qualified lead agrees to a viewing time, the agent books it automatically
- Manually — you create an appointment from the Calendar page
Agent-booked appointments
When the agent suggests available times and a lead picks one, the appointment is created with:
- Lead name and contact info
- Selected date and time
- Property being viewed (if identified)
- Status set to "Scheduled"
Manual appointments
Click Calendar in the sidebar.
Click on an available time slot in the calendar grid, or click the New Appointment button.
- Date — select the date
- Time — pick a start time from 30-minute increments
- Lead — select a lead from your database or enter a name
- Notes — any additional details
Click Save to create the appointment. It appears on the calendar grid.
Appointment Statuses
| Status | Meaning |
|---|---|
| Scheduled | Upcoming viewing — confirmed by lead |
| Completed | Viewing happened |
| Cancelled | Cancelled by lead or agent |
Update the status by clicking the appointment and changing its state.
Viewing Appointments
On the Calendar page, appointments appear as solid colored blocks on the grid. Click any appointment to see:
- Lead details
- Date and time
- Status
- Notes
Editing Appointments
Click an appointment to open its detail view. You can change:
- Date and time
- Status (Scheduled → Completed or Cancelled)
- Notes
Deleting Appointments
Click an appointment and choose Delete to remove it from the calendar.
